Editors
Edit files where they are.
Encloq opens documents, spreadsheets, presentations, notes, pictures and recordings in its own editors, right in your browser. Your file is decrypted only on your device, and every save is encrypted there before it is uploaded.
Which files you can edit
Encloq picks the editor from the file type. Each editor has its own guide section below.
- Word documents: .docx and .dotx.
- Spreadsheets: .xlsx and .xltx workbooks, and .csv and .tsv files.
- Presentations: .pptx, .potx and .ppsx.
- PDFs open in the PDF editor, which has a guide of its own.
- Markdown notes (.md) and text files: plain text, logs and code such as JSON, XML, HTML, CSS, JavaScript or Python.
- Pictures: JPEG, PNG, GIF, WebP, AVIF, BMP, HEIC and camera RAW photos.
- Audio and video: MP4, M4V, MOV, M4A, 3GP, MP3 and WAV.
Editing happens in your browser’s memory, so how large a file can be depends on the device. If a file is too large for this device, Encloq says so and you can open it in the preview instead.
Open or create a file
- 1In your files, open a file’s menu with More options (⋯) or a right-click and choose Edit.
- 2Or open the file in the preview and choose Edit, the pencil at the top. On a phone, Edit is in the preview’s ⋯ menu.
- 3To close the editor, choose ✕ at the top left. If you have unsaved changes, Encloq asks Save your changes? and offers Don’t save, Cancel and Save.
Create a new file
Choose New above your files. Under Create, pick Document (.docx), Spreadsheet (.xlsx), Presentation (.pptx), Markdown (.md) or Text file (.txt). On a phone, the round + button at the bottom right opens the same choices.
The new file gets a name such as Untitled document, which you can change in the title bar right away. It shows Not saved yet and is created in the open folder only when you save it the first time. If the name is taken, Encloq adds a number. Close it without saving and nothing is created. Inside an editor, File › New document (or new spreadsheet, presentation, note or text file) starts another one of the same kind.
The title bar
The title bar looks the same in every editor. In the middle it shows:
- The name. Click it to rename the file. The extension stays as it is.
- The version badge, such as v3: the version you are editing. Choose it to open the version history.
- The state below the name: Saved, Unsaved changes, Saving… 64 % or Not saved yet. Without a connection it reads Offline · changes stay on this device, and when your storage is full Storage full · changes stay on this device.
On the left are ✕ to close and the menu bar: File, Edit, View and the menus of the editor, such as Insert and Format, up to Help. On the right are Undo, Redo, Save with its options, and More (⋯) with Export…, Version history, Preview and Keyboard shortcuts, plus Print… and Sign as PDF… where the editor offers them. A right-click in the file opens the actions for what you clicked.
Save and versions
Choose Save or press ⌘S on a Mac, Ctrl+S on other devices. Each save adds a new version, and the badge moves on, for example from v2 to v3. Earlier versions stay in the history, so you can go back at any time.
Save options
The arrow beside Save opens the Save options. Under When saving you choose:
- Add a new version, the default: each save adds a version and earlier ones stay.
- Replace current version: each save overwrites the version you are editing. Encloq asks once with Replace when saving?. The choice then applies in every editor, also in your other tabs.
- Save as a copy saves your changes as a new file next to this one.
Replacing is never possible for a signed version, a version that was shared, sent or is held by others, or an older version. The option then says why, and saving adds a new version instead. On a device that is still within its security delay, replacing waits until the delay has passed. File › Save as new version (⇧⌘S or Ctrl+Shift+S) always adds one, whatever you chose.
When someone saved meanwhile
If a newer version was saved while you were editing, on another device or from an older version you opened, Encloq shows A newer version exists. Choose Save as newest version to put your changes on top, Save as a copy to keep them as a separate file, or Open version … to open the newest version, where your changes are offered back to restore.
Offline, Save waits: your changes stay on this device and are saved as soon as you are back online.
Unsaved changes and other tabs
While you edit, Encloq keeps your unsaved changes on this device, sealed with your key so that only you can open them. They are removed when you sign out.
- If Encloq locks while you edit, your changes are there again as they were once you unlock.
- After a reload or a closed tab, the editor shows Unsaved changes from … with the time. Choose Restore to bring them back, or Discard.
Very large changes may not fit. The state then reads Changes can’t be kept on this device. Save now.
The same file in another tab
A file can be edited in one tab at a time. Open it in a second tab and it is read-only there, with Editing in another tab. Choose Edit here instead to take it over: your changes from the first tab come along, and the first tab turns read-only at once.
Export, print and sign
File › Export… turns the file into another format as a new file. The original stays as it is. Choose where it goes:
- Save to archive: saved encrypted next to the original, with the button Save.
- Download: saved on this device, without the file’s metadata.
Then pick a format. A live preview shows the result before you export it, with its size and, for PDFs, the number of pages. The formats depend on the editor:
- Word documents: PDF, Word document, Plain text and Markdown.
- Markdown notes: PDF, Word document, Web page, Plain text and Markdown. Text files: Same format.
- Spreadsheets: Excel workbook, CSV and PDF of the current sheet, with a choice of separator, paper size and gridlines.
- Presentations: PDF with one page per slide, PowerPoint presentation, and PNG images of this slide or of every slide.
- Pictures: PNG, and JPEG at the quality High, Medium or Small file. Audio and video: Same format.
Print… (⌘P or Ctrl+P) prints Word documents, Markdown notes and presentations page by page. In the same editors, Sign as PDF… saves your changes, saves a PDF next to the file and opens it for signing.
If the owner of a shared file doesn’t allow downloads, the editor says so: Download and copying to other apps are off, but copy and paste still work inside the editor. If copies aren’t allowed either, Save as a copy and Save to archive are unavailable.
Keyboard shortcuts
These work in every editor. Help › Keyboard shortcuts lists every shortcut of the open editor, grouped by menu.
| Action | Mac, iPhone, iPad | Other devices |
|---|---|---|
| Save | ⌘S | Ctrl+S |
| Save as new version | ⇧⌘S | Ctrl+Shift+S |
| Undo | ⌘Z | Ctrl+Z |
| Redo | ⇧⌘Z | Ctrl+Shift+Z |
| Find | ⌘F | Ctrl+F |
| ⌘P | Ctrl+P | |
| Keyboard shortcuts | ⌘/ | Ctrl+/ |
| Go to the menu bar | F10 | F10 |
Find and replace opens with ⇧⌘H on a Mac and Ctrl+H on other devices, in the editors that can replace. With F10 you move through the menus with the arrow keys and jump to an item by typing its first letter. On Windows and Linux, Alt with a menu’s letter opens that menu.
On a phone
On a phone the title bar shows ✕, the name with its badge and state, Save and More (⋯). More opens every menu as a sheet, and the arrow beside Save opens the save options as a sheet too. The most used tools sit in a bar at the bottom. In spreadsheets, presentations and PDFs, a long press opens the menu that a right-click opens on a computer.
Text and Markdown
Text files
The text editor numbers the lines and colours code in common languages. On a computer, the bar below the text shows the position, the indentation, the encoding, the line endings, the language and the number of lines. Your file keeps its encoding and line endings when you save. View › Wrap long lines switches line wrapping, which is on for plain text and off for code. On a phone, a row of Extra keys adds Tab, brackets and other characters that are hard to reach on a touch keyboard.
Markdown notes
Markdown opens in Edit, where you write formatted text, or in Source, where you see the Markdown itself. Use the toolbar or the Format menu for text styles from Title to Small heading, bold, italic, lists, a Checklist, quotes, code, tables and dividers. Typing Markdown works too: # and a space start a heading, - and a space start a list.
- Pictures from Insert › Picture…, by pasting or by dropping are saved as their own files in the note’s folder. Pictures from the internet are never loaded and show Remote picture not loaded.
- When you save, every paragraph you didn’t touch is written back exactly as it was. HTML, front matter and link definitions are shown as grey blocks and kept.
- The Web page export loads nothing from the internet: your pictures are embedded, and pictures from the internet are replaced by their description.
Tools › Check spelling turns on your browser’s spell check. It is off by default.
Word documents
Word documents open as real pages in the file’s paper size, with headers, footers, page numbers, columns and footnotes where the document has them. View switches between Pages and Reflow, which flows the text to the window and is how documents open on a phone.
- Format: paragraph styles, including the document’s own, fonts, sizes, text colour, highlight, alignment, line spacing, bulleted and numbered lists, and Clear formatting.
- Insert: a table, a link, a comment, a picture From this device… or From Encloq… (PNG, JPEG or GIF up to 25 MB), a page break, and Headers and footers with a page number. Pictures can be made Smaller, Larger, Original size or Fit to page width.
- Comments: select text and choose Comment (⌥⌘M or Ctrl+Alt+M). Threads can be answered with Reply, closed with Resolve and opened again with Reopen. Encloq reminds you once that your name is shown with each comment to everyone who can open the document.
What stays as it is
Saving rewrites only what you changed. Styles, the theme and untouched headers and footers stay byte for byte. Parts that can’t be edited here, such as text boxes, shapes, charts, equations or fields, are kept, and a notice Some parts stay as they are lists them when you open the file. The author, the company and the preview picture are removed when you save.
A document with tracked changes opens with This document has tracked changes: choose Accept all or Reject all before editing. The original stays as the previous version. Documents with macros, password-protected documents and the Strict format can’t be edited; open them in the preview instead.
Spreadsheets
Spreadsheets calculate as you type. Start a formula with =, and Encloq suggests functions and shows their arguments. Functions use English names and commas, like =SUM(A1,B2). Cells with functions Encloq can’t calculate keep their last saved values, and the status shows how many were not recalculated.
- Cells: number formats, fonts, colours, fills, borders, alignment, Wrap text and Merge cells, all in one place with Format cells (⌘1 or Ctrl+1).
- Rows, columns and sheets: insert and delete rows and columns, with formulas following along, freeze rows and columns, and add, rename, move, hide or delete sheets.
- Data: Sort A to Z, Sort Z to A and a Filter on each column. Drag the fill handle to continue weekdays, months, dates and numbers.
- Charts: select data and choose Insert › Chart. Pick column, bar, line, area, pie, doughnut or scatter, a title and a legend. Charts made in Excel are shown and can be moved, resized or deleted.
Conditional formatting, notes and links from Excel are shown and kept, but not edited here. Saving rewrites only the sheets you changed and removes the calculation chain, the author and the company; Excel recalculates the workbook when it opens it.
CSV files hold values only. They keep their separator, quotes and line endings, but formatting isn’t saved and formulas are saved as text. Workbooks with pivot tables, tables or links to other workbooks keep their rows, columns and sheet names as they are.
Presentations
Presentations open with the slides on the left, the slide in the middle, speaker notes below and the format panel on the right.
- Slides: New slide (⌘M or Ctrl+M), duplicate, hide, delete, drag to reorder, and Change layout or Apply layout with the layouts of the file.
- Objects: text boxes, 95 shapes, pictures and tables. Move and resize them on the slide; set fill, outline, position and size in the format panel; group, align, distribute, order, rotate and flip them from Arrange.
- Present: Present from the beginning (F5) or Present from this slide. The Presenter view opens the slides in a second window for your audience and shows you the notes, the next slide and a timer.
Find (⌘F or Ctrl+F) searches and replaces text across all slides. Saving rewrites only the slides you changed. Animations, transitions, comments, video and audio, charts and SmartArt are kept but can’t be edited here, and the notice Some parts stay as they are lists them. When you delete a shape, its animations go with it. The author and the company are removed when you save.
The presenter view needs a second window. If your browser blocks it, allow pop-ups for Encloq.
Pictures
The picture editor has four tools: Crop, Adjust, Markup and Redact.
- Crop with a free or fixed aspect ratio, Straighten by up to 45°, turn with R and Shift+R and flip.
- Adjust brightness, contrast and saturation. Markup adds rectangles, ellipses, arrows and text in seven colours.
- Redact hides an area with Black out or Blur. Redactions are drawn into the picture when you save, so the hidden content is gone from the saved version.
JPEG and PNG pictures are saved in place, without the photo’s metadata such as location or camera. HEIC, RAW and AVIF photos are saved as a new JPEG, and GIF, WebP and BMP pictures as a new PNG, next to the original, which stays as it is.
Unless you replace the current version, earlier versions still hold the picture as it was. To remove sensitive content for good, delete those versions after redacting.
Audio and video
Recordings and videos can be trimmed. Drag the handles on the timeline, or press I for Start here and O for End here. Space plays and pauses, Shift+Space plays the selection. Saving keeps only the selection and doesn’t re-encode anything, so the quality stays exactly as it was. A video may start a moment before your start handle, at the nearest key frame.
Some files can be played but not trimmed, such as videos stored in fragments. The editor then says so, for example This format can be played but not trimmed yet.
If a file doesn’t open for editing
- Too large to edit on this device
- The file needs more memory than this device offers to the browser. Open it in the preview, or edit it on a computer with more memory.
- This file type can’t be edited yet
- Encloq has no editor for this type. Open the file in the preview, or download it and use an app on your device.
- This file can’t be opened for editing
- It may have been moved, deleted or changed in the meantime. Close the editor and try again. Files in the trash can’t be edited.
- The file opens read-only
- It is open for editing in another tab of this browser. Choose Edit here instead to take it over.
- Paste with the keyboard
- Some browsers only let websites paste through the keyboard. Press ⌘V or Ctrl+V instead of using the menu.
