Versions

Every save keeps what came before.

A file in Encloq is a chain of versions. Saving, signing or uploading a file with the same name adds a version, and the earlier ones stay, so you can always see, open or restore what came before.

The badge beside the name shows the version you are editing. Choose it to see the history.

How versions work

A new version is added when you save in an editor, when you sign a PDF, when you restore an earlier version and when you upload a file with Save as new version. The newest version is the current one: it carries the file’s name and is what opens, downloads and sends by default. Versions are numbered v1, v2, v3 and so on.

Nothing is overwritten unless you choose Replace current version in an editor’s save options. Every version is encrypted like any other file.

Every version still on the server counts against your storage. The file details show the space under All versions. Delete older versions to free it.

Version history

In an editor, the badge beside the file name shows the version you are editing, for example v3. Choose it, or File › Version history, to open the history beside the file.

The newest version is at the top. Each row shows its number, date and size. The version you are working on says Editing, the newest says Current, and signed versions show who signed them. Choose a row to preview that version.

Preview a version

A version opens in the preview with its number, date and size, for example Version 2. From there, Open in editor opens it for editing and Restore makes its content the newest version. Esc or ✕ closes the preview.

File › Preview shows the version you are editing As last saved, without your unsaved changes. It is a quick way to compare.

Edit an older version

After Open in editor, the badge shows the older number, for example v2. You can change it like any file, but it can’t be renamed or replaced. When you save, Encloq says A newer version exists:

  • Save as newest version puts your changes on top as the next number.
  • Save as a copy saves them as a new file next to this one.
  • Open version … opens the newest version instead and offers your changes there to restore.

The same question comes up when someone saved a newer version on another device while you were editing.

Restore a version

  1. 1Open the version history and choose the version you want back.
  2. 2In its preview, choose Restore.
  3. 3Encloq confirms Version restored. Its content is now the newest version, and the editor opens it.

Restoring copies the old content forward. The versions in between stay in the history, so you can change your mind again.

Versions in your files

In your files, open a file’s Details. Under Versions you see every version; the expand button shows the whole Version tree with its branches. Double-click a version to open it, or use its menu:

  • View this version, Download and Send this version.
  • Make this the current version moves an older version to the top.
  • Extract as separate file turns a version into a file of its own.
  • Delete this version deletes it for good. Later versions are kept and attached to the version before it; if it was the current version, the one before becomes current. You can also delete all versions, which removes the whole file.

Join two files into one history

Did a newer copy arrive under another name? Choose Add version in its menu and pick the file it continues, or drag it onto that file. It takes that file’s name and becomes its current version. Both files must be of the same type, and files in managed folders can’t take versions from elsewhere.

Files with the same name

When you upload a file whose name already exists in the folder, Encloq asks before the upload starts, with “…” already exists here or, for several files, … names are already taken. For each file, choose:

  • Save as new version, the default: the file already there becomes an older version you can still open.
  • Keep both: the new file is added under a free name, such as “Contract (1).pdf”.
  • Don’t upload: the upload is dropped and nothing changes.

With several files, Use this for all … applies one choice to every file. Then choose Continue.

Send versions in a message

When you attach a file that has several versions to a message, you choose how much of its history to send:

  • Current version only: earlier versions are not sent.
  • Current version and its history: from the current version back to the first, without side branches.
  • Whole history: every version, including all branches.

In the conversation, a file shows which version it is, such as (v3). When you send a file again later, it arrives as a new version of the same file, not as a duplicate.

Signed versions

Signing a PDF adds a signed version, and the original stays in the history. A signed version is never overwritten: if you edit it, saving creates a new version without signatures, and the signed one stays. The editor reminds you with This version is signed. Saving creates a new version without signatures; the signed version stays.

  • The version history, the file details and the preview show Signed by … for signed versions and say so if a file was changed after it was signed. See Sign a PDF.
